About the RoleThe Medical Secretary will play a crucial role in ensuring the smooth operation of our services. This will include providing a comprehensive secretarial and administrative service, ensuring excellent communication with patients, relatives, general practitioners, and other hospital staff.
Main Responsibilities- Provide a comprehensive secretarial and administrative service to the medical staff and their supporting team.
- Provide cover for colleagues in their absence to maintain service levels.
- Ensure excellent communication is provided to patients, relatives, general practitioners, and other hospital staff.
- Ensure all clinics are used to their full capacity and that any vacant slots are fully utilized and acted upon.
- Regularly inform the secretarial supervisor about progress and flag any issues that may impact service delivery.
- Manage the pathway for patients referred under the two-week wait, ensuring they are monitored to minimize/avoid breach.
- Carry out regular review and administrative validation of the clinician's return outpatient wait list.
- Support the achievement of Trust performance by ensuring administrative standards are met, typing times, test results passed to clinician, and any potential 52-week breaches are escalated to the clinician, secretarial supervisor, or AGM/DGM to avoid breach.
- Ensure all clinic cancellations/alterations are dealt with efficiently and in line with the Trust's 8-week annual/study leave policy.
- Essential:
- GCSE grade C or above (or equivalent) in literacy and numeracy.
- IT experience of Microsoft Office packages.
- Desirable:
- Typewriting/word processing RSA Level 3 or equivalent practical experience.
- NVQ in Administration level 2.
- Essential:
- Appropriate experience in a hospital or office environment.
- Desirable:
- Experience of working as a secretary.
- Understanding and previous experience in medical terminology.
- Essential:
- Able to prioritize own workload and that of others as appropriate.
- Personally resilient and able to manage complexity and work in an ambiguous or changing environment.
- Excellent presentational, communication, and interpersonal skills.
- IT capable to ensure proficient use of hospital computer systems.
- Self-motivated and able to work under own initiative and prioritize workload.
