We are currently looking for a dedicated and efficient Office Administrator to become a part of our client's team. If you possess strong organisational skills, attention to detail, and the ability to thrive in a dynamic work environment, this role may be an excellent fit for you.

As the Office Administrator, you will be instrumental in delivering comprehensive administrative support to key departments and the Leadership Team at our client's main office.


Key Responsibilities:

  • Provide extensive administrative assistance to the Leadership Team, ensuring seamless operations and effective coordination.
  • Oversee scheduling and travel arrangements for multiple Directors.
  • Offer support to the Executive Personal Assistant as required.
  • Manage reception duties during breaks and absences.
  • Handle the processing of purchase orders and BACS requests for the Leadership Team and their departments.
  • Maintain accurate records by updating Time Management Systems and holiday spreadsheets.
  • Coordinate meeting room reservations and arrange catering for the Leadership Team.
  • Facilitate the reception and seating of visitors and VIPs during peak times.
  • Manage travel logistics for Directors and their teams, utilizing both online tools and travel management services.
  • Be available to assist other departments with administrative tasks as needed.

Additional Duties:

  • Participate in the Charity Committee, contributing positively to the organisation.
  • Take minutes during Committee meetings.
  • Uphold health and safety standards as a First Aid & Mental Health First Aider.

Qualifications:

  • Proven experience in a similar administrative capacity.
  • Exceptional organisational and time management abilities.
  • Strong attention to detail and a systematic approach to tasks.
  • Capability to multitask and prioritise effectively in a fast-paced setting.
  • Proficient in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
  • Excellent communication and interpersonal skills.
