Job Description

General Purpose of Role

As a key member of our clinical projects team, you will provide critical support to ensure the successful delivery of customer projects. Your primary focus will be on managing day-to-day internal operations, collaborating with cross-functional teams, and communicating with customers and vendors to resolve issues and ensure timely project milestones.

Main Responsibilities

  • Act as the primary point of contact for internal problem-solving and troubleshooting, providing timely and effective solutions to ensure project goals are met.
  • Lead weekly customer calls and meetings in the absence of the Project Manager, ensuring seamless communication and project progress.
  • Develop and maintain project-specific documentation, including packaging specifications, variable data forms, and logistics management documents.
  • Coordinate the timing of internal processes to ensure timely receipt and release of bulk, project packaging components, and shipping supplies.
  • Communicate with customers and vendors to resolve missing or erroneous certifications and documentation related to receiving and QC release of bulk, packaging components, and shipping supplies.
  • Monitor and update scheduling liaisons with production needs for projects.
  • Create project-specific routings and bills of material.
  • Collaborate with internal groups and vendors to ensure project milestones are achieved, including labeling and component design and delivery, and on-time shipments of order requests.
  • Process monthly distribution invoices and record data in project-specific metrics.
  • Assume the role of client advocate and act as secondary client communication point for clinical packaging, storage, and distribution for assigned projects.
  • Provide training and onboarding for new employees within the same role, as requested.
  • Maintain and update project plans and timelines as requested.
  • Ensure knowledge of and adherence to all PCI, cGMP, and cGCP policies, procedures, rules, and regulations applicable to assigned clinical projects.

Outcomes of Role

  • The on-time, on-budget delivery of client projects to relevant standards as a result of support provided to the Project Manager.
  • Provision of reporting of Project Management metrics and KPI statistics as required.
