About the Role
Diamond Health Group is seeking a highly motivated and organized individual to join our team as a Medical Secretary. As a key member of our practice team, you will provide effective secretarial support to our GP Partners, clinical team, and act as a key point of contact for external agencies.
Key Responsibilities
• Provide administrative support to the clinical team, including typing referral letters, reports, and patient referrals in an accurate and timely manner.
• Utilize electronic referral systems and maintain up-to-date knowledge of referral destinations and specialist clinics.
• Process referrals and other documents, including creating referrals via Emis, printing and posting paperwork to patients, and dealing with phone calls from patients regarding queries and mislaid paperwork.
• Manage the electronic referral system workflow, ensuring tasks are actioned and dealt with in a timely manner.
• Provide support to clinicians with dictation software and deal with any problems that may arise.
• Liaise with external agencies, such as hospitals and community services, to ensure referrals are processed efficiently.
• Prioritize referrals based on clinical need and urgency.
Private Fee Work
• Process and record all incoming requests relating to private fee work, including insurance, DWP, DVLA, and requests for medical reports.
• Calculate fees based on pre-agreed practice costs and charges, and send invoices to patients and third-party companies.
• Photocopy and print medical records to support insurance applications.
• Complete certain sections of insurance reports before passing to the clinician for completion.
• Utilize the IGPR system for medical reports and requests.
Subject Access Requests (SARs)
• Process and record all Subject Access Requests, including utilizing the IGPR system.
• Arrange for required records to be available for the GP to redact and check when required.
• Once the records are redacted, arrange for them to be made available to the patient or third party that made the original request.
Requirements
• Experience of working with the general public and using a clinical medical system or similar.
• Experience of Microsoft Office software and administrative duties.
• Excellent communication, keyboard, and computer skills, with the ability to listen and empathize.
• Ability to work without direct supervision and determine own workload priorities.
• Pleasant and articulate, with a willingness to work flexible hours as necessary.
• Current driving license and car driver.
