The Role

We are seeking an experienced Administrative Support Specialist to provide a proactive, efficient, and effective administration service to our Senior Leadership Team (SLT). The successful candidate will be responsible for managing diaries, organizing meetings and events, and providing support for meetings, including preparation and distribution of agendas, attending meetings to take notes and actions, and transcription, circulation, and follow-up.

Key Responsibilities

  • Manage diaries and organize meetings and events for SLT members
  • Provide administrative support for meetings, including preparation and distribution of agendas, attending meetings to take notes and actions, and transcription, circulation, and follow-up
  • Develop and maintain effective relationships with SLT members, colleagues, and external stakeholders
  • Ensure confidentiality and effective communication in dealing with sensitive information
  • Contribute to the development and implementation of administrative processes and procedures

Requirements

  • Experience in a similar role within a similar setting, supporting at least two Directors
  • Strong all-round administration and organizational skills
  • Proven ability to produce high-quality, professional documents
  • Intermediate/advanced keyboard skills and good working knowledge of Microsoft Office (intermediate level Word & Outlook)
  • Ability to understand financial and statistical information
  • Previous experience in maintaining and updating action logs from meetings
  • Strong customer focus and good communication skills
