Position Overview

We are pleased to announce an opportunity for a Band 3 Ward Administration Coordinator within our esteemed organization. This part-time role is essential in supporting the operations of our specialized ward dedicated to the care of older adults with mental health needs.

Our ward accommodates 14 patients, focusing on delivering exceptional care for individuals experiencing dementia-related challenges.

Key Responsibilities

The role encompasses a variety of responsibilities, including but not limited to:

  • Assisting the ward manager and nursing staff in daily operations
  • Managing supply orders and inventory
  • Maintaining and updating patient records
  • Organizing staff documentation
  • Preparing patient care packs
  • Handling incoming calls and visitors to the ward
  • Welcoming and supporting family members

Essential Experience

  • Strong organizational skills
  • Ability to prioritize tasks and adapt to changing circumstances
  • Previous experience in an administrative or secretarial capacity
  • Familiarity with handling confidential and complex information
  • Proficiency in taking accurate minutes during meetings
  • Good numeracy and literacy skills
  • Understanding of confidentiality protocols in a professional setting

Desired Qualifications

  • Experience in a healthcare or social care administrative environment

Required Qualifications

  • RSA 3 Word Processing or equivalent practical experience
  • Shorthand or Speedwriting skills
  • NVQ Level 3 in Business Administration
  • GCSE English or equivalent
  • Evidence of ongoing professional development

Knowledge and Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Understanding of administrative procedures, including diary management and appointment scheduling
  • Experience with electronic record-keeping and filing systems
  • Ability to manage a diverse workload amidst frequent interruptions
  • Capability to meet deadlines and work effectively under pressure
  • Excellent verbal and written communication skills
  • Strong interpersonal skills, with the ability to handle sensitive situations with tact
