About the Role
hVIVO is seeking a skilled Rota Administrator to join our team. As a key member of our Clinical Operations department, you will be responsible for managing the medical, nursing, and ancillary rota to ensure all sites within our clinical sites are appropriately staffed.
Key Responsibilities
- Manage the Clinical Operations monthly rota, ensuring it is created and released according to hSITE rota standards.
- Adhere to ICH/GCP and best practice at all times.
- Collaborate and communicate with Clinical Operations Team and hSite project teams to determine resourcing requirements.
- Input into hSite quarterly operational resourcing forecast for hVIVO, considering all areas within the business and their needs during the process.
- Manage the hVIVO working bank database, ensuring all staff receive appropriate communication and documentation.
- Work with hSITE study project teams to ensure appropriate staffing requirements, identifying and implementing possible efficiencies and maximising resource utilisation.
- Manage the internal Resource Scheduling system, delegating as appropriate, building new study schedules into the system, and managing staffing levels throughout live studies.
- Ensure Clinical Operations staff receive required documentation to perform their daily duties.
- Train new starters to the Clinical Resource Team in resourcing activities when applicable.
- Coordinate the 24-hour emergency on-call rota for Medical personnel within hSITE, liaising with external providers over calls received and delegating monthly checks on the service.

- Demonstrated good time management skills.
- Ability to identify opportunities for improvement.
- Willingness to learn additional skills.
- Ability to work with a degree of flexibility.
- Demonstrated understanding of ethical practice and confidentiality.
- Excellent computer skills with good working knowledge of a range of software packages.
- Ability to work efficiently and effectively in a matrix environment.
- Relevant experience in a similar role in a Clinical Research or Healthcare Provision environment.
