Job Overview

The Operations Manager will oversee the operational team and manage all relevant documentation. This role is ideal for individuals with a keen organizational ability and meticulous attention to detail.

Supplier Management and Procurement

  • Negotiating rates and tracking expenses
  • Issuing purchase orders in accordance with established protocols
  • Authorizing purchase orders following the appropriate procedures
  • Completing Subcontractor Labour Monitoring documentation
  • Identifying new suppliers and evaluating existing partnerships

Customer Service and Administration

  • Verifying Work Information Sheets prior to distribution and upon receipt
  • Ensuring the collection of Carton Deposits

Reporting Responsibilities

  • Preparing accruals for review

Sales Support

  • Providing information on resource availability and pricing
  • Advising on product delivery options

Operational Oversight

  • Coordinating daily operational activities
  • Allocating suitable resources
  • Pursuing operational efficiencies through effective resource allocation
  • Confirming work schedules and details with clients and team members
  • Conducting briefings and debriefings with team members
  • Collaborating with warehouse staff to coordinate related tasks

Team Leadership

  • Ensuring all team members are trained to provide exceptional service safely and efficiently
  • Developing staff to meet business needs
  • Fostering teamwork and mutual support among team members
  • Managing team performance through regular supervision and biannual evaluations
  • Addressing employment relations within the branch, consulting HR as necessary
  • Advocating for company policies and procedures, promoting adherence
  • Ensuring all team members understand and deliver outstanding customer service

Additional Responsibilities

  • Monitoring all vehicles to ensure compliance with transport regulations
  • Supervising the team and tracking driving hours, ensuring adherence to company policies and regulations
  • Facilitating communication between clients and operational teams to confirm timelines and assign appropriate resources
  • Collaborating with leadership to optimize branch efficiency and profitability

Key Responsibilities

  • Excellent communication skills and experience in team management are essential
  • Ability to motivate and promote teamwork
  • Managing daily operations, allocating resources, briefing team members, and coordinating external labor
  • Ensuring Health & Safety compliance, including daily inspections and training
  • Overseeing the completion of timesheets and monitoring hours for legal compliance
  • Ensuring maximum operational profitability in line with budgetary constraints
  • Supporting business development and client management initiatives as needed
  • Engaging with clients before and after service delivery to ensure high-quality service and identify improvement opportunities
  • Assisting with branch administration and customer interactions
