The Opportunity

We are seeking a highly organized and detail-oriented individual to join our legal support team as a Practice Support Specialist. In this role, you will provide high-quality support to our lawyers and partners, ensuring the smooth delivery of our services to clients.

Key Responsibilities
  • Coordinate and produce accurate documents and correspondence, including drafting engagement letters and reports.
  • Manage and maintain effective work practices with partners and lawyers to manage the matter life cycle from file opening to closure.
  • Proactively manage and understand partner and lawyer diaries, prioritizing commitments and organizing appointments, conferences, and meetings.
  • Coordinate travel arrangements, including accommodation, visas, and offsite meeting requirements.
  • Ensure relevant global travel is included in the International BD visit report.
  • Coordinate and assist with global visits/visitors.
  • Manage all communications, including email, phone calls, and mail, ensuring timely responses and follow-up actions.
  • Implement effective telephone call management and ensure a consistent, high-quality service to clients and stakeholders.
  • Manage the coordination of the billing process, including liaising with Revenue and editing bills.
  • Assist partners and lawyers with their business development responsibilities, including producing pitches and updating client information databases.
  • Help partners and lawyers build and maintain strong relationships with clients and their secretaries.
Qualifications, Skills & Experience
  • Typing speed of at least 55wpm with 98% accuracy.
  • Intermediate to Advanced skill level with Microsoft Office Suite (Outlook, PowerPoint, Excel, and Word).
  • Basic skill level with Visio.
  • Excellent written and verbal communication skills, with a demonstrated ability to build effective relationships with people internally and externally.
  • Proven high-level organizational and time management skills, with the ability to think ahead, prioritize workload, and respond to changing circumstances.
  • Excellent attention to detail and client focus.
  • Strong judgment and problem-solving ability.
  • Demonstrated high-level experience as a Secretary/PA working in a professional services environment, preferably in a legal setting.
