The Opportunity

We are seeking an experienced Executive Support Specialist to join our team in Belfast. As a key member of our Group Practice team, you will provide administrative support to our partners and lawyers, ensuring the smooth operation of our business.

Key Responsibilities

  • Develop a sound knowledge of our Digital Legal Delivery practices and provide administrative support to our partners and lawyers.
  • Proactively manage and understand partner diaries, prioritizing commitments and organizing appointments, conferences, and meetings.
  • Coordinate travel arrangements, including accommodation, visas, and offsite meeting requirements.
  • Assist with global visits and visitors, ensuring a seamless experience for our clients and partners.
  • Manage communications, including email, phone calls, and correspondence, ensuring timely and effective responses.
  • Build and maintain strong relationships across our firm's network, providing information and support to colleagues.
  • Supervise a team of PAs, providing guidance, direction, and support to ensure the successful delivery of our business.
  • Monitor attendance, timekeeping, and sickness, dealing with first-line conversations and escalating issues to the Office Operations Manager.
  • Participate in the firm's annual performance review and Talent process, including goal setting activities.

Requirements

  • At least 5 years of high-level experience as a Secretary/PA in a professional services environment.
  • Previous experience of supervision or leadership of a team of PAs.
  • Intermediate to Advanced skill level with Microsoft Office Suite.
  • Excellent attention to detail, strong judgement, and problem-solving ability.
  • Excellent communication skills, both written and verbal, with the ability to communicate across cultures and levels of the business.
