Position Overview: Become a vital member of the Commonwealth of Virginia, an esteemed institution dedicated to public service and community engagement. As an Office Administration Coordinator III, you will contribute significantly to the operational efficiency of the Financial Services Office, supporting the Director of External Financial Funds.

Key Responsibilities:Responding to inquiries via phone and assisting guestsScheduling meetings and organizing departmental resourcesManaging documentation and processing mail, invoices, and reportsCreating purchase orders and compiling reportsOverseeing budget approvals and monitoring financial resourcesEnsuring adherence to Records and Retention policies

Additional Responsibilities Include:

  • Procurement of office supplies and financial management
  • Facilitating travel arrangements and reimbursements
  • Supporting office operations and maintaining accurate records
  • Processing vendor invoices and matching payments
  • Preparing bank deposits and executing administrative duties

Qualifications:

  • Proven expertise in Microsoft Office Suite and Oracle/PeopleSoft Financial applications
  • Strong customer service and project management capabilities
  • Ability to manage multiple priorities, meet deadlines, and communicate effectively
  • Experience in public interaction and adept at resolving complex issues
  • Excellent organizational and analytical skills

Preferred Qualifications:

  • Prior experience in an executive support role within an administrative setting
  • Familiarity with higher education administration or governmental procurement processes
