Job Overview

This role is pivotal in managing administrative and database functions that underpin the Powys Positive Attachment service. The position serves as a vital point of contact for both the service manager and the team.

Key Responsibilities

The primary responsibilities include being the main liaison for service users between their interactions with the Powys Positive Attachment Service.

Responsibilities include:

  • Communicating with service users regarding appointments, cancellations, and rescheduling.
  • Participating in a centralized telephone referral and appointment service for therapeutic offerings.
  • Establishing a positive rapport over the phone, ensuring a welcoming first impression of services while efficiently gathering necessary information and directing users to appropriate internal or external services.
  • Managing referrals concerning service users.
  • Upholding confidentiality policies as per Adferiad standards.

Administrative Duties

The role also involves:

  • Coordinating between therapeutic staff and service users to facilitate efficient appointment scheduling.
  • Collaborating with external agencies to ensure compliance with monitoring requirements.
  • Supporting the Adferiad data team in maintaining accurate data and evidence for monitoring purposes.
  • Preparing and organizing service user documentation for relevant staff prior to appointments.
  • Ensuring that daily clinic operations are effectively managed and that new service users are identified as needed.
  • Assisting staff in organizing group activities and training sessions.
  • Maintaining and archiving individual service user records securely.
  • Coordinating various records and information as directed by management.
  • Inputting, amending, and verifying data in Adferiad service user databases.
  • Attending meetings as required by management.
  • Supporting the overall management of the facility.
  • Managing room bookings and other administrative tasks.

Professional Development

The successful candidate will engage in continuous learning and development, maintaining professional accreditation relevant to the role, and participating in training organized by Adferiad.

Required Skills and Qualifications

Knowledge

  • Proficient in Microsoft Office Suite, especially Word and Excel.
  • Understanding of administrative procedures and accurate information recording.

Experience

  • Proven experience in a busy administrative or support environment.
  • Experience in handling a variety of tasks effectively.

Skills

  • Strong written and verbal communication skills, including report writing.
  • Excellent organizational abilities.

Qualifications

  • GCSE level in Maths and English (or equivalent).
  • NVQ Level 2 in Business Administration or a related field.
