This role is pivotal in managing administrative and database functions that underpin the Powys Positive Attachment service. The position serves as a primary liaison for the team, assisting the Service Manager and ensuring effective communication with service users.
Key Responsibilities
The main responsibilities include acting as the primary contact for service users, facilitating communication regarding appointments, cancellations, and rescheduling.
Additionally, the role involves:
- Participating in a centralized telephone referral and appointment system for therapeutic services.
- Establishing a positive rapport with service users, ensuring a welcoming first impression while efficiently gathering necessary information.
- Taking referrals and managing communications with service users.
- Adhering to confidentiality policies.
Administrative Duties
Responsibilities also include liaising with therapeutic staff and service users to optimize appointment availability, supporting external agencies in data collection for monitoring purposes, and collaborating with the Adferiad data team to ensure compliance with monitoring requirements.
The role entails:
- Collating and preparing service user documentation for relevant staff prior to clinics.
- Ensuring daily clinic results are processed and identifying new service users as directed.
- Supporting staff in organizing group activities and training sessions.
- Maintaining accurate records and overseeing the archiving of service user files.
- Coordinating room bookings and contributing to the overall administrative functions of the organization.
Professional Development
The position requires participation in ongoing learning and development initiatives, maintaining professional accreditation, and attending training sessions as required.
Required Qualifications
Candidates should possess:
- Proficiency in Microsoft Office, particularly Word and Excel.
- A solid understanding of administrative procedures and accurate information recording.
- Experience in a busy administrative or support environment.
- Excellent communication skills, both written and verbal.
- Organizational skills and the ability to manage multiple tasks effectively.
Desired Qualifications
Additional qualifications may include:
- NVQ Level 2 in Business Administration or a related field.
- GCSE level qualifications in Maths and English (or equivalent).
- Welsh language proficiency.
