Job Summary:

Project People is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will play a critical role in ensuring the smooth operation of our office.

Key Responsibilities:

  • Office Management: Provide administrative support to ensure the office runs efficiently and effectively. This includes managing office supplies, maintaining a well-organized workspace, and ensuring all necessary equipment is in good working order.
  • Asset Management: Oversee the management of office assets, including inventory, maintenance, and disposal. Ensure that all assets are properly tracked and accounted for.
  • Storage and Inventory Management: Maintain an organized and efficient storage system, ensuring that all items are properly labeled and easily accessible.
  • Procurement and Logistics: Assist with procurement processes, including ordering supplies and services, and ensuring timely delivery and payment.
  • Meeting and Event Support: Provide administrative support for meetings and events, including coordinating logistics, preparing materials, and ensuring a smooth execution.
  • Business Travel Support: Assist with travel arrangements, including booking flights, hotels, and transportation, as well as preparing necessary documents and itineraries.
  • Supplier Management: Develop and maintain relationships with suppliers, ensuring timely communication and resolution of any issues that may arise.
  • Additional Responsibilities: Perform other administrative tasks as needed, including covering the reception desk when required.
  • Reporting and Communication: Provide regular updates to management on office operations and any issues that may arise.

Person Specification:

We are looking for a highly skilled and experienced Administrative Support Specialist who possesses the following qualities:

  • Excellent Organizational and Time Management Skills: Ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Strong Communication and Interpersonal Skills: Ability to effectively communicate with colleagues, management, and external partners.
  • Proficiency in Microsoft Office: Strong skills in Word, Excel, PowerPoint, and Outlook.
  • Teamwork and Adaptability: Ability to work collaboratively as part of a team and adapt to changing priorities and deadlines.

Desirable Qualifications:

  • 2+ Years of Experience in a Similar Role: Previous experience in an administrative support role, preferably in a fast-paced office environment.
  • Fluency in English and Chinese: Strong written and spoken proficiency in both languages.
