We are seeking an experienced Administrative Compliance Specialist to join our team at Reed. As an Administrative Compliance Specialist, you will play a crucial role in ensuring the smooth operation of our business by providing administrative support and ensuring compliance with regulatory requirements.

Key Responsibilities
  • Onboarding Process: You will be responsible for carrying out the onboarding process for new candidates, ensuring that all necessary documentation and procedures are completed in a timely and efficient manner.
  • Visa and Permit Applications: You will be responsible for applying for visas and work permits for employees working internationally, ensuring that all necessary documentation is completed and submitted in a timely manner.
  • Document Control: You will be responsible for documenting processes and procedures in line with ISO and client requirements, ensuring that all necessary documentation is up-to-date and accurate.
  • Audit and Compliance: You will be responsible for undertaking regular internal audits to ensure that contractual and compliance requirements are met, and for identifying and mitigating any risks to the business.
  • Reporting and Record Keeping: You will be responsible for collating audit information, generating and distributing regular and accurate reports to highlight risks to the business, and for maintaining accurate records of all compliance-related activities.
  • Training and Development: You will be responsible for delivering or arranging ad hoc compliance training for staff members, ensuring that all employees are aware of their compliance responsibilities and are equipped to meet them.
  • External Audits and Inspections: You will be responsible for facilitating external audits and inspections from third parties, ensuring that all necessary documentation and procedures are in place to meet regulatory requirements.
  • Administrative Support: You will provide administrative support to the team, including updating the company management system, taking minutes of meetings, and providing accurate reporting on a weekly, monthly, and quarterly basis.
Requirements
  • Experience: You will have previous experience of working in administration and audit/compliance, with a strong understanding of regulatory requirements and compliance procedures.
  • Industry Knowledge: You will have previous experience working within the construction industry, ideally within M&E, with a strong understanding of the industry's regulatory requirements and compliance procedures.
  • IT Skills: You will be IT proficient with the use of Microsoft Office software, with a strong understanding of data management and record-keeping systems.
  • Communication Skills: You will have excellent communication skills, both written and verbal, with the ability to communicate with stakeholders at all levels.
  • Organisational Skills: You will have excellent organisational skills, with a high level of attention to detail and the ability to prioritise a busy workload.
  • Initiative and Teamwork: You will be able to work on your own initiative as well as part of a team, with a strong ability to communicate and collaborate with colleagues.
