Job Overview

The primary responsibility of this role is to deliver comprehensive administrative, secretarial, and clerical assistance within the Respiratory Team. This includes maintaining accurate records, managing patient appointments, and facilitating communication with clients and various services on behalf of the team and healthcare professionals. The successful candidate will be expected to operate independently, demonstrating initiative with minimal supervision. A significant portion of the role involves telephone interactions with patients, caregivers, and other healthcare professionals, necessitating excellent and precise computer skills.

Key Responsibilities

  • Manage referrals and messages, ensuring they are documented and forwarded to the appropriate clinician based on urgency.
  • Communicate effectively with patients, caregivers, relatives, social services, and members of the primary healthcare team while maintaining confidentiality and sensitivity.
  • Utilize the Rio Data Management System to record referrals and retrieve patient information.
  • Accurately scan and upload referrals into the patient information system.
  • Oversee appointment scheduling, greet patients, and assist in resolving any issues that may arise.
  • Disseminate information to clinical teams and management as required.
  • Coordinate care packages and referrals to other agencies under the guidance of a senior nurse.
  • Generate regular statistical performance reports and provide patient information as needed for management.
  • Complete monthly sickness and absence records on the e-roster.
  • Welcome visitors and manage telephone inquiries as appropriate.
  • Offer non-clinical guidance to patients, caregivers, and the public.

Essential Criteria

  • Evidence of a solid basic education, including numeracy and literacy skills.
  • NVQ3 in secretarial or office administration or equivalent experience, with a willingness to pursue this qualification.

Experience and Knowledge
