Job Overview

The primary responsibility of this role is to deliver comprehensive administrative, secretarial, and clerical support within the Respiratory Team. This includes maintaining accurate records, managing patient appointments, and facilitating communication with clients and various services on behalf of the clinical teams. The position requires the ability to work autonomously, utilizing personal initiative with minimal supervision. A significant aspect of the role involves frequent telephone interactions with patients, caregivers, and healthcare professionals. Proficiency in computer skills is essential for success in this position.

Main Responsibilities

  • Manage referrals and messages, ensuring they are documented and forwarded to the appropriate clinician based on urgency.
  • Engage with patients, caregivers, relatives, and other relevant agencies while maintaining confidentiality and demonstrating sensitivity.
  • Utilize the Rio Data Management System to record referrals and access patient information.
  • Accurately scan and upload referrals into the patient information system.
  • Coordinate patient appointments, welcoming them and addressing any issues that may arise with empathy.
  • Disseminate information to clinical teams and management as required.
  • Assist in organizing care packages and referrals to external agencies under the guidance of senior nursing staff.
  • Generate regular statistical performance reports and provide patient information as needed for management purposes.
  • Complete monthly sickness and absence records as requested.
  • Receive visitors and handle telephone inquiries appropriately.
  • Offer non-clinical advice to patients, caregivers, and the public.
