Job Overview

We are seeking dedicated and adaptable individuals to become part of our dynamic team within the Maternity Services. This role presents an excellent opportunity for proactive and organized individuals to contribute to our Maternity department. Successful candidates will exhibit strong communication and interpersonal abilities and will be prepared to operate in a fast-paced environment. Our team provides a comprehensive 7-day, 24-hour service, collaborating flexibly to fulfill operational requirements. ( - hour shifts - Days & nights )

Familiarity with healthcare IT systems is beneficial; however, training will be provided. Your responsibilities will encompass a variety of tasks essential for the smooth operation of this busy department.

We are looking for team-oriented individuals who can thrive under pressure and effectively manage their workload while addressing the needs of the department. You will be joining a supportive and dedicated team committed to excellence.

Key Responsibilities

To deliver a confidential and high-quality administrative support service to the Maternity Services, encompassing both clerical and practical tasks. The successful candidate will also provide administrative and clerical assistance to other departments within Maternity Services as needed.

Your role will involve offering clerical and administrative support within Maternity Services, primarily in Balmoral Ward, utilizing IT systems to document patient activities. This is a demanding and varied position that requires exceptional organizational and interpersonal skills. The candidate must possess excellent communication skills to engage with patients, visitors, and all levels of staff.

Job Duties

Responsibilities Include:

  • Welcoming women and their families to the Maternity Wards.
  • Managing telephone communications, relaying messages, and coordinating with the midwife in charge.
  • Operating security systems to grant access to authorized visitors and staff.
  • Utilizing communication logs to prioritize tasks for the shift.
  • Maintaining an ongoing record of patients for auditing purposes.
  • Organizing patient records for medical documentation.
  • Tracking the movement of folders entering and leaving the department.
  • Using IT systems to manage patient admissions and discharges.
  • Reporting maintenance needs and equipment failures to the appropriate departments.
  • Ensuring adequate supplies of stationery are available in designated areas.
  • Performing additional duties as assigned by the Senior Midwife.
  • Demonstrating the ability to prioritize and multitask effectively.

Qualifications and Skills

Essential:

  • Minimum of 3 GCSEs at Grade C or above, including English or equivalent.
  • Knowledge of office procedures.
  • Proficient IT skills.
  • Strong written and verbal communication abilities.
  • Courteous and efficient telephone etiquette.
  • Proficiency in Microsoft Office applications, including Word and Outlook.
  • Experience in a busy office setting.
  • Strong planning and organizational skills.
  • Ability to work effectively within a team.

Desirable:

  • Familiarity with Excel and/or PowerPoint.
  • Experience in a healthcare setting.
