Front of House Receptionist

Our company, Liberty Resolve Limited, is a well-established Private Aesthetic Clinic with a state-of-the-art facility and a team of friendly staff who take pride in their roles, ensuring that our patients receive a high-class service.
We are seeking a well-presented and spoken Front of House Receptionist who has excellent customer service skills and a background as a Receptionist preferably within Private Healthcare.
Key Responsibilities:
- Greet and welcome each person who enters the clinic with clear eye contact, a smile, and swift identification of who they are and what their needs are, ensuring they are acknowledged straight away.
- Manage the flow of patients through the clinic, providing information, and keeping patients updated (both face-to-face and virtual appointments) with the clinic progress throughout the day.
- Create a calm and reassuring ambiance in the clinic reception and beyond.
- Operate a smooth-running, tidy reception and waiting area, ensuring that visual checks are done regularly, the coffee machine is kept clean internally and externally, and any rubbish is put in the bin.
- Empty the dishwasher in the main kitchen in the morning and put a wash cycle on in the evening.
- Answer telephone enquiries following company direction and take personal responsibility to assist and follow up to the best of your ability or pass to the relevant person for attention.
- Only leave reception when alternative cover has been arranged.
- Open appropriate mail, date stamp, and distribute accordingly and in a timely manner, ensuring that urgent mail is dealt with by an appropriate replacement for holiday cover.
- Assist with registering the daily payments taken and inputting all the accurate information required.
- Take payments over the phone or send out Worldpay links (for balances for surgical procedures) and register all details on Pabau.
- Complete the daily totals report daily and email to accounts.
- Ensure the clinic list is ready ahead of time and all Zoom links have been sent out to the correct patients.
- Scan requests made for notes in archive storage (Oasis) in time for clinic day.
- Sending the clinic list the day before and printing it out the morning of clinic.
- Sending the hospital the theatre lists at the start of the week to appropriate people.
- Print off the following day's clinic list to ensure a paper backup should the system go down.
- Assist with email enquiries and cover email enquiries when directed by the Clinic Manager.
- Reply to any out-of-office as directed by the Clinic Manager.
