Administrative Support Specialist

Job Summary:
KHR Recruitment Specialists is seeking a highly organized and detail-oriented Sales Office Administrator to join our team. As a Sales Office Administrator, you will be responsible for providing administrative support to our sales team, ensuring the smooth operation of our office, and maintaining accurate records.
Key Responsibilities:
- Coordinate the preparation and dispatch of samples and parcels to customers in a timely manner, including liaising with couriers to arrange collections and deliveries.
- Manage the weekly scanning, photocopying, and filing of documents, ensuring all records are up-to-date and accurate.
- Process supplier invoices, maintaining accurate records and ensuring timely payments.
- Sort and distribute mail, ensuring all correspondence is handled efficiently.
- Process orders, manage customer accounts, and assist with credit control.
- Monitor office supplies, stationery, and refreshments, handling shortages and ordering replacements as needed.
- Provide receptionist duties when required, ensuring a professional and welcoming environment for clients and visitors.
- Maintain office equipment, ensuring all machinery is in good working order.
- Book and arrange meeting rooms, coordinating with other departments to ensure smooth operations.
- Coordinate with other departments to ensure compliance with established policies and procedures.
- Provide cover for the sales administration department when required, ensuring seamless support to the team.
Requirements:
- Previous experience working in an office support or clerical role, preferably in a sales environment.
- Experience processing orders and sales administration, with a strong understanding of invoicing and credit control.
- Ability to use initiative and work autonomously when required, with strong communication and organizational skills.
- Highly organized and efficient, with a keen eye for detail and accuracy.
