Job Summary
Hexagon's Autonomy and Positioning division is seeking a highly organized and detail-oriented Administrative Coordinator to provide administrative support to the organization. This role will be based in our Veripos office and will be responsible for managing reception, booking business travel, updating documentation, and providing a professional service to site visitors.
About the Role
The successful candidate will be responsible for:
- Liaising with the Travel Management Company to organize flights for employees, as per travel requests to the travel in-box.
- Managing all reception-based duties, ensuring excellent and professional service to employees, visitors, and on-site contractors.
- Ordering lunches upon request of employees for business requirements.
- Providing support to the Facilities & QA Co-ordinator when requested by coordinating third-party services and maintenance for Veripos House, as per the annual maintenance plan.
- Gathering information on behalf of the QHSE & Facilities department for quarterly reporting.
- Carrying out monthly inspections on all first aid kits and updating stock when required.
- Carrying out monthly water quality checks alongside the Facilities & QA Co-ordinator.
- Carrying out weekly fire alarm tests alongside the Facilities & QA Co-ordinator.
Requirements
The ideal candidate will have:
- An HNC/HND level education.
- At least 5 years of experience in a similar role.
- Experience with booking business travel and liaising with Travel Management Companies.
- Experience with Office 365 tools (Word, Excel, PowerPoint, and SharePoint).
