Logistics Coordinator

At Reed, we are seeking a highly organized and detail-oriented Maritime Personnel Coordinator to join our team. This role plays a crucial part in ensuring the smooth deployment and management of qualified mariners for our company-contracted vessels.
Key Responsibilities:- Credential Verification: Verify crew USCG and STCW credentials to ensure compliance with industry standards. Validate regulatory, customer, and company training requirements. Maintain accurate personnel records for mariners through data entry into relevant systems and documentation files.
- Travel Arrangements: Arrange and coordinate travel for mariners to/from vessels, adhering to company policies. Handle air, ground, or water taxi arrangements and lodging. Collaborate with travel agencies and vendors to secure cost-effective options.
- Flight Booking: Arrange air travel for crew members to join or leave vessels. Consider factors like departure/arrival times, layovers, and cost-effectiveness.
- Ground Transportation: Coordinate ground transportation between airports, seaports, and crew accommodations. Arrange transportation from the vessel to the airport or designated location. Handle crew-related paperwork and coordinate with crewing agencies.
- Accommodations: Secure lodging for crew during transit or rest periods.
- Sign-On and Sign-Off Coordination: Input and verify accuracy of sign-on and sign-off dates for mariners and vessels. Coordinate crew changes efficiently, minimizing downtime between rotations.
- Administrative Support: Assist with company administrative reporting requirements. Handle auxiliary crewing functions such as I-9, DOT verification, EPIC, E-verify, discharge, medical billing, reimbursements, training, investigations, budgeting, accounting, invoicing, activations, and compliance.
We are looking for a candidate with a high school diploma or equivalent. College courses are desired, and an associate's or bachelor's degree is preferred. A minimum of 1 year of experience in a demanding personnel logistics, crewing, or operations administration position or closely related role is required.
The ideal candidate will possess strong administrative, organisational, cooperation, interpersonal, and multitasking skills. Proficiency in Microsoft Office applications is also essential. Ability to prioritize tasks and adapt to a changing environment is crucial.
