We are seeking a highly organized and detail-oriented Administrative Services Manager to join our team at Next Best Move. As an Office Manager, you will play a critical role in ensuring the smooth operation of our office and supporting our Senior Management team.
About the Role
- Manage the office diary and coordinate meetings, ensuring rooms are booked and all necessary arrangements are made.
- Provide exceptional customer service by greeting visitors warmly, ensuring they feel welcome, and directing them to the appropriate person or meeting room.
- Prepare and serve refreshments to visitors, ensuring they are comfortable during their stay.
- Maintain a tidy and professional reception area, ensuring it is well-stocked with necessary supplies.
- Manage office supplies, including ordering stationery and ensuring the office is well-stocked with essentials.
- Organize the signing, scanning, and posting of legal documentation, ensuring timely and accurate completion.
- Schedule and plan future engagements, including meetings with external stakeholders and clients.
- Act as the primary point of contact for the team, providing administrative support and ensuring seamless communication.
- Undertake any other ad hoc duties as required to support the smooth operation of the office.
Requirements
- Proven experience in an administrative role, preferably in a financial services industry.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication and interpersonal skills, with the ability to build rapport with colleagues and external stakeholders.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office and other administrative software.
