Executive Secretary to Directors

We are seeking a highly skilled and experienced Executive Secretary to provide administrative support to our Executive Team. The successful candidate will be responsible for providing a high level of administrative support to the Executive Directors, including diary management, correspondence, and minute taking.
Key Responsibilities- Provide administrative support to the Executive Directors, including diary management, correspondence, and minute taking.
- Manage and maintain accurate and up-to-date records, both paper and electronic.
- Develop and implement effective administrative systems and procedures to ensure the smooth running of the office.
- Provide a high level of customer service to internal and external stakeholders, including Trust staff, system partners, regulators, and external organisations.
- Act as a point of contact for the Executive Team, responding to queries and requests in a timely and professional manner.
- Develop and maintain positive working relationships with the Executive Team, Trust staff, and external stakeholders.
- Provide administrative support for meetings, including preparation of agendas, minutes, and supporting documentation.
- Manage and maintain the Executive Team's email and phone systems, ensuring that all correspondence is responded to in a timely and professional manner.
- Develop and implement effective communication strategies to ensure that the Executive Team's messages are conveyed clearly and effectively to internal and external stakeholders.
- Provide administrative support for the development and implementation of policies, procedures, and guidelines.
We are looking for a highly skilled and experienced Executive Secretary who has:
- A high level of administrative experience, preferably in a senior management role.
- Excellent organisational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to adapt to change and develop services and systems to meet changing requirements.
- Ability to travel without the use of public transport to participate in meetings and training in other parts of the county.
