Job Summary:

This is a unique opportunity to work for a leading global Property Company, based in luxury offices in Canary Wharf and the West End. As an Executive Assistant to the CEO, you will be responsible for providing high-level administrative support to the CEO and the Chief of Staff.

Key Responsibilities:

  • Diary Management: Manage the CEO's diary, ensuring that all meetings, appointments, and travel arrangements are coordinated efficiently.
  • Inbox Management: Handle the CEO's email and correspondence, responding to messages and ensuring that all matters are dealt with promptly.
  • Travel Management: Arrange travel itineraries, including flights, hotels, and transportation, ensuring that the CEO's travel plans are executed smoothly.
  • Team Management: Supervise and manage a team of administrative staff, providing guidance and support to ensure that tasks are completed to a high standard.
  • Communication Coordination: Coordinate communication between the CEO, the Chief of Staff, and other stakeholders, ensuring that all parties are informed and up-to-date.
  • Meeting and Events Coordination: Organize and coordinate meetings, events, and conferences, ensuring that all logistical arrangements are made and executed efficiently.
  • Expenses & Invoices: Manage the CEO's expenses and invoices, ensuring that all financial matters are dealt with promptly and accurately.
  • Document Production: Produce high-quality documents, reports, and presentations, ensuring that all materials are accurate and well-presented.
  • General Team Support: Provide general administrative support to the team, ensuring that all tasks are completed to a high standard.

Requirements:

  • Experience: Proven experience as an Executive Assistant to senior leaders, with a strong track record of providing high-level administrative support.
  • Leadership Skills: Strong leadership skills, with the ability to manage and motivate a team of administrative staff.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to communicate effectively with senior leaders, stakeholders, and team members.
  • Organizational Skills: Strong organizational skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Technical Skills: Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Teams, with a strong understanding of technology and IT applications.
  • Discretion and Confidentiality: Ability to maintain discretion and confidentiality, with a strong understanding of the importance of confidentiality in a senior leadership role.
