Position Overview

The role of a Patient Services Coordinator is essential in ensuring that a welcoming and efficient reception experience is provided to patients and visitors. It is crucial to approach each individual with empathy and understanding, recognizing that many may be experiencing health challenges.

Key Responsibilities

In this position, you will:

  • Serve as the primary communication link between patients, healthcare providers, and the broader medical team, offering comprehensive support to all practice staff.
  • Maintain a professional demeanor while handling inquiries, clearly explaining procedures and facilitating appointment scheduling.
  • Utilize your judgment and interpersonal skills to ensure that patients requiring urgent consultations are accommodated appropriately and without disruption.
  • Document requests for home visits accurately, ensuring all pertinent information is recorded and communicated to the on-call physician when necessary.
  • Process repeat prescription requests, ensuring they are prepared for patient collection within a specified timeframe.
  • Inform patients about applicable charges for private services, manage payments, and issue receipts while ensuring proper consent is obtained.
  • Accurately enter patient data into the electronic health record system, ensuring that all documentation is scanned and filed correctly.
  • Ensure adequate coverage during staff absences due to holidays or illness.
  • Uphold the highest standards of confidentiality, data protection, and information governance at all times.
  • Answer incoming calls promptly, including those on unattended lines, and direct them to the appropriate personnel in a caring and professional manner.
  • Utilize the computer system while ensuring data security, including safeguarding passwords and smart cards.
  • Assist and guide patients in accessing the necessary services or healthcare professionals efficiently and courteously.

Qualifications and Skills

  • Self-motivated and capable of working independently while adhering to established protocols.

  • Previous experience in a healthcare or customer service environment.
