Position Overview

The successful candidates will play a vital role in supporting the Access Team.

The main responsibility will involve contributing to the verification of all RTT and Non-RTT weekly and monthly datasets, along with various Data Quality Reports to ensure that patients are reported accurately in accordance with Trust Policy, Local or National Standards, particularly focusing on the Referral to Treatment (RTT) benchmarks.

Additionally, the post holders will be tasked with any other validation processes leading up to the month-end master files, ensuring that the integrity of all submissions is upheld and remains precise at all times.

Key Responsibilities

- Assist Access Specialists in validating all aspects of RTT, including admitted, non-admitted, and incomplete cases, while confirming whether patients have breached or are currently in a breach situation.

- Support the validation of month-end files for all RTT Access measures, including 6-week diagnostic metrics and cancelled operations, ensuring compliance with the 28-day re-booking standard.

- Validate and maintain the data quality of both RTT and Non-RTT Inpatient & Outpatient waiting lists. This includes monitoring patients categorized under Planned & Post RTT, ensuring they are accurately placed in the correct category with appropriate 'see by' dates.

- Utilize your knowledge and experience in RTT and Non-RTT to assist in the administrative processes of validation.

Job Duties

  • Possess a solid understanding of 18-week RTT regulations and apply them to manage all patient pathways.
  • Ensure Trust systems are accurately updated with the correct RTT and non-RTT status codes by interpreting clinic correspondence to the appropriate codes, identifying and escalating key training areas to maintain high data quality.
  • Strive for optimal patient and clinician satisfaction by being an approachable, patient-centered, and knowledgeable point of contact.
  • Support, analyze, investigate, validate, and monitor the Trust's Access Performance, escalating cases of breaching patients for necessary action and identifying areas of backlog growth.
  • Aim for accurate data entry on the first attempt, consistently and punctually.
  • Manage your own workload and priorities, acting independently within clearly defined occupational policies, in line with appraisal objectives while ensuring confidentiality at all times.
  • Actively engage in the Trust appraisal process.
  • Exercise independent judgment and initiative when challenges arise, taking appropriate actions to resolve issues or referring them to the relevant personnel.
  • Support the NHS workforce modernization agenda, which aims to enhance quality, efficiency, and productivity through innovative working methods, including the modernization of patient pathways towards a paperless system.
  • Contribute to fostering a supportive team environment.
  • Identify and escalate any issues to the Access Administration Specialist that could jeopardize the delivery of the 18-week RTT performance, including capacity shortages in Outpatients, Inpatients, or data quality concerns.
  • Assist in conducting regular audits of Planned Waiting Lists, ensuring that patients in this category have a planned admission date and are legitimately categorized.
  • Ensure compliance with the Access policy among staff.
  • Collaborate with internal and external colleagues, such as Outreach Clinics & Private Sector, to share patient pathway and diagnostic information, expediting patient journeys as necessary.
  • Utilize LEAN techniques and SMART objectives to drive improvements.
  • Continuously contribute to patient and elective care improvement initiatives, which may involve undertaking project work as directed, gathering information from various sources, compiling and reporting data to produce reports and spreadsheets, and ensuring all relevant data is collected and entered accurately in accordance with Trust guidelines. This includes using Trust IT systems and tools as required by the role.

Qualifications

Essential

  • Educated to GCSE standard (or equivalent)
  • Level 3 in Business & Administration or equivalent knowledge and prior experience in NHS business administration

Desirable

  • Key Skills level 2 in literacy and numeracy or equivalent knowledge and experience
  • ECDL/CLAIT certification

Experience

  • Significant prior experience within the NHS
  • Ability to prioritize and manage a diverse workload

  • Experience in engaging with individuals at all levels
  • Background in waiting list management environments

Skills

Essential

  • Ability to interpret clinic letters to determine RTT Codes
  • Proficiency in literacy and numeracy
  • Strong attention to detail

  • Proficient in Excel, Word & PowerPoint, with the ability to create pivot tables and graphs.

Knowledge

  • Comprehensive understanding of all Access Targets, particularly the rules governing RTT.
