We are seeking a Facilities Operations Coordinator to support our on-site team.

This role encompasses a variety of responsibilities, including reception duties, corporate hospitality, and general facility maintenance to ensure the smooth operation of our premises.

Key Responsibilities:

  • Delivering front desk support, which includes managing calls, welcoming visitors, and assisting team members with inquiries.
  • Executing and assisting with on-site service tasks.
  • Overseeing the parking area to ensure compliance with company policies.
  • Restocking washroom supplies as needed.
  • Ensuring meeting rooms are clean, organized, and prepared for use, including providing refreshments and arranging technical support when necessary.
  • Handling incoming and outgoing mail and packages.
  • Ordering refreshments, sanitary supplies, personal protective equipment, and business cards.
  • Monitoring and procuring office supplies, ensuring daily replenishment of stationary pods.
  • Replacing printer supplies while keeping track of inventory levels.
  • Coordinating the distribution and collection of keys for clients and contractors on-site.
  • Arranging courier services, transportation, and taxi bookings.
  • Supporting corporate hospitality initiatives as required.
  • Managing the maintenance of office bicycles.
  • Overseeing bookings for pool cars and office bicycles.
  • Maintaining records of staff vehicle registrations and issuing permits.
  • Reporting maintenance and health and safety concerns to the Facilities Management team.
  • Distributing company-wide information emails as necessary.

About You:

  • Experience in a similar role is preferred.
  • Strong communication and customer service skills, with a welcoming and friendly demeanor.
  • Ability to prioritize tasks effectively and maintain a positive attitude.
  • Proficient in MS Office applications, including Word, Excel, and Outlook.
  • Team-oriented with a willingness to assist colleagues.
  • Capable of working independently and taking initiative.
  • Eager to learn new skills and participate in training opportunities.
  • IOSH Managing Safely certification is a plus, but not mandatory.
