The Portfolio Analyst role is situated within the Portfolio team of the Transformation Delivery Directorate and involves collaboration with various colleagues across Companies House. The responsibilities include producing high-quality, timely reports on the portfolio and transformation initiatives, managing risks and issues, and overseeing data within our Project Portfolio Management (PPM) tool.

The successful candidate will ensure a clear understanding of the delivery plan and its dependencies across the portfolio, engaging with colleagues to maintain a consistent understanding and a unified source of truth.

Key Responsibilities

Delivery and Leadership

  • Support the Portfolio Manager and act as a deputy when required.
  • Promote best practices in project, program, and portfolio management standards and processes.

Resource Management

  • Collaborate with stakeholders on portfolio resource management needs.
  • Gather accurate data to report on resource requirements.

Governance, Reporting, and Assurance

  • Evaluate and challenge portfolio and program reporting data, escalating issues as necessary.
  • Monitor key portfolio milestones and control the baseline.
  • Notify changes in milestones to relevant management.
  • Provide timely data to maintain the Portfolio Delivery Plan.
  • Generate reports, including milestone forecasts and other necessary documentation.
  • Assist in the monthly reporting process for the Companies House Portfolio.

Guidance and Support

  • Develop and disseminate best practices in project management processes, tools, and templates.
  • Offer guidance and training to the project delivery community on scheduling best practices.

Planning and Scheduling

  • Maintain and enhance the Portfolio Delivery Plan.
  • Identify and track key portfolio dependencies.
  • Ensure the accuracy of PPM tools to maintain a single source of truth.
  • Provide subject matter expertise in scheduling to Project Managers.
  • Ensure the quality of project schedules and the contents of business cases.
  • Establish and uphold project schedule baselines.

Project Pipeline Management

  • Collaborate with Senior Responsible Owners (SROs) and Project Managers to ensure accurate and up-to-date project pipeline information.

Risk and Opportunity Management

  • Assist in maintaining the Portfolio RAID log.
  • Identify and escalate portfolio risks and opportunities as appropriate.

Stakeholder Engagement

  • Manage relationships with a diverse range of internal stakeholders.

Candidate Profile

We seek a Portfolio Analyst with the following experience:

  • Experience in a PMO or project/portfolio management environment.
  • Ability to proactively plan, prioritize tasks, and manage multiple activities to meet deadlines.
  • Proficiency in Excel, Microsoft Project, and PowerBI.
  • Knowledge of planning, scheduling, finance, and risk management in a project, program, or portfolio context.
  • Capability to work independently and take initiative.
