Job Title: Marine Personnel Coordinator

We are seeking a highly skilled and experienced Marine Personnel Coordinator to join our team at Northern Marine. As a key member of our crewing department, you will be responsible for providing exceptional support to our seafarers and ensuring the smooth operation of our crew management processes.

Key Responsibilities:
  • Provide effective communication and support to seafarers, ensuring all queries are managed and resolved in a timely manner.
  • Support and participate in regular internal and client audits to ensure compliance with maritime regulations and industry best practices.
  • Liaise with the Marine Personnel Specialist to ensure effective crew changes in line with client requirements.
  • Manage and coordinate all office visits of our seafarers, including de-briefs and appraisals.
  • Coordinate the crew induction process for new joiners and offboarding process for leavers.
  • Support the Marine Personnel Specialist and Personnel team with any potential disciplinary matters, review of external manning agents, and ensuring KPIs/SLAs are being met.
  • Manage and coordinate payroll matters for seafarers, liaising with colleagues in our other global offices to ensure prompt and accurate payment.
  • Monitor and analyse training plans in line with company matrix requirements, ensuring all crews are competent and up to date with the latest regulations and best practices.
  • Support the delivery and communication of Standards for Training, Certificate and Watchkeeping Convention (STCW) to seafarers.
  • Strong knowledge and understanding of ISM, STCW, and MLC requirements.
Candidate Requirements:
  • Broad experience in a marine crewing role supporting and managing a large pool of global seafarers.
  • Demonstrable experience managing first-line crewing demands, including problem resolution.
  • Demonstratable customer service skills, with a focus on client engagement and delivery.
  • Experience with case management, involving seafarers, and coordinating investigation, grievance, and disciplinary processes and procedures.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple and changing priorities.
  • Strong organisational skills.
  • Knowledge of maritime regulations and industry best practice.
  • Understanding and knowledge of offshore crewing practice, including demonstrated experience managing casework on board.
  • Understanding and in-depth knowledge of ISM code, MLC, and STCW.
  • Awareness and knowledge of crew managing systems, including COMPAS.
  • Ability to work independently and as part of a team.
  • Strong understanding of GDPR and ISO standards relating to crew management.
  • Proficient in all MS office packages, including Outlook, Word, Excel, and PowerPoint.
Desirable:
  • University Degree, preferably in HR or General Business.
  • Previous experience working within a seagoing HR team for a ship management company.
  • Shipping HR related legislation; STCW, MLC.
