Position Overview

The Marine Personnel Coordinator plays a pivotal role in overseeing crew management and welfare, emphasizing safety, adherence to regulations, and meticulous attention to detail.

Key Responsibilities

  • Facilitate effective communication between seafarers and the management team, ensuring timely resolution of inquiries.
  • Engage in and contribute to regular internal and client audits.
  • Collaborate with the Marine Personnel Specialist to ensure seamless crew transitions in accordance with client specifications.
  • Organize and manage all office visits for seafarers, including debriefing sessions and performance evaluations.
  • Oversee the crew induction process for new hires and the offboarding process for departing personnel.
  • Assist the Marine Personnel Specialist and Personnel team with disciplinary matters, evaluation of external manning agencies, and management of KPIs/SLAs, including regular meetings and updates.
  • Maintain and manage the COMPAS crew database, ensuring accuracy and timely updates.
  • Coordinate payroll processes for seafarers, collaborating with colleagues in global offices to ensure accurate and prompt payments.
  • Monitor and assess training plans to align with company standards, ensuring all crew members are competent and compliant with the latest regulations and best practices.
  • Support the dissemination of information regarding the Standards for Training, Certification, and Watchkeeping Convention (STCW) to seafarers.
  • Possess a robust understanding of ISM, STCW, and MLC requirements.
  • Be prepared to undertake additional tasks related to crew management as directed by Line Management.

Candidate Requirements

Essential Qualifications

  • Extensive experience in a marine crewing role, managing a diverse pool of global seafarers.
  • Proven ability to handle first-line crewing demands, including effective problem-solving.
  • Demonstrated customer service skills with a focus on client engagement and delivery.
  • Experience in case management, involving seafarers in investigations, grievances, and disciplinary processes.
  • Exceptional communication and interpersonal abilities.
  • Capability to manage multiple priorities in a dynamic environment.
  • Strong organizational skills.
  • In-depth knowledge of maritime regulations and industry best practices.
  • Understanding of offshore crewing practices, with experience in managing casework on board.
  • Comprehensive knowledge of ISM code, MLC, and STCW.
  • Familiarity with crew management systems, including COMPAS.
  • Ability to work independently as well as collaboratively within a team.
  • Strong understanding of GDPR and ISO standards related to crew management.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.

Desirable Qualifications

  • A university degree, preferably in Human Resources or General Business.
  • Previous experience in a seagoing HR team within a ship management organization.
  • Knowledge of shipping HR-related legislation, including STCW and MLC.
