Job Title: Administrative Support Specialist for Medical Secretaries

Job Summary:

We are seeking an experienced Administrative Support Specialist to join our Cancer Support Team at the University Hospital of North Midlands NHS Trust. The successful candidate will provide administrative support to our medical secretaries, ensuring the smooth running of Multidisciplinary Team (MDT) meetings and the provision of seamless pathways of care for patients.

Key Responsibilities:

  • Provide administrative support to medical secretaries, including preparing, organizing, and circulating agendas and lists.
  • Identify and communicate changes to the MDT list in a timely fashion to relevant team members.
  • Work to schedules to ensure all relevant information is available to the MDT meeting in a timely fashion.
  • Implement operational policies and procedures in their own area relevant to the MDTs covered.
  • Propose changes to working practices to bring about improvements in the MDT service or function.
  • Ensure the safe use of equipment utilized by self and other members of the MDT.
  • Contribute to the training and induction of new members of staff and support less experienced members of staff.
  • Process, transmit, and store patient data using computerized systems.
  • File paper data within the case record in a retrievable format.
  • Utilize appropriate software to provide regular monthly reports on the attendance and activity of the MDTs.

Requirements:

  • Baseline theoretical knowledge of medical terminology and computer software programs.
  • Knowledge of patient administration and other related systems, acquired through training and experience to NVQ3 or equivalent.
  • Understanding of a range of work procedures possibly outside immediate work area, some of which are non-routine.
  • Ability to exercise judgment when dealing with requests for patient information and access to MDT meetings.
  • Ability to analyze information relating to patients' investigations, patient pathway, and clinical protocols.
  • Ability to identify trends in attendance and other relevant data.

Working Conditions:

  • Daily requirement to exert moderate physical effort for several long periods during a shift related to the movement of laptops and other pieces of mobile equipment.
  • Frequent requirement for concentration where the work pattern is unpredictable.
  • Requirement to use VDU equipment more or less continuously on most days.
