ESP Recruitment London (Events) is a leading recruitment agency specializing in the events industry. We are seeking a highly organized and creative Events and Marketing Assistant to join our team.

Job Summary

We are looking for a motivated and detail-oriented Events and Marketing Assistant to support our team in coordinating events, webinars, and marketing activities. The ideal candidate will have excellent communication skills, be able to work independently, and have a passion for delivering exceptional events.

Key Responsibilities

  • Event Management
    • Work closely with the Head of Events to ensure all events are delivered on time, within budget, and to the highest standard.
    • Organize and implement a program of webinars and roundtable discussions, working closely with the Head of Events.
    • Sourcing, reviewing, and being responsible for pre-event suppliers, including lanyards, badges, couriers, polling, merchandise, and gifts.
    • Venue sourcing, including new dinner venues for the evenings of our portfolio of events. Liaise with the venue to ensure a seamless operation on the day of the event.
    • Develop table plans for allocated seating at conferences where necessary.
    • Assist with providing AV and production suppliers with event briefs, ensuring that staging and AV are designed and agreed upon, and that everything is on brand and meets event requirements.
    • Liaise with the AV team on site to ensure the seamless running of each aspect of the conference.
    • Post-event review of feedback and recommendation of improvements for future events.
    • Manage and maintain good relationships with all key stakeholders, including suppliers, venues, speakers, and clients.
    • On-site coordination of logistics and management of suppliers, preferred partners, personnel, and freelancers at events.
    • Sourcing of entertainment and speakers for conferences and awards shows.

Marketing

  • Assist with the overall marketing program of events, including implementation and delivery of mailers and social media posts.
  • Copywriting for promotional material and social media channels.
  • Create and maintain a competitor calendar, regularly updating the calendar with competitor event dates, speaker ideas, and technology ideas.

Qualifications and Experience

  • 1+ year's experience in office/admin or events.
  • The ability to work on own initiative.
  • Excellent communication skills, both in writing and in person.
  • Attention to detail.
  • Ability to manage a demanding schedule and coordinate multiple events in the planning stage and see them through to completion.
  • Fantastic organizational skills coupled with the creativity to make the events a must-attend.
