Position Overview

Regional Executive Assistant - Europe

Location: London, Farringdon

Hybrid, Full Time - This role requires presence in the office three days a week.

The Regional Executive Assistant plays a vital role within the Regional Leadership organization, providing support to the Senior Vice President (SVP) of Europe and the European Leadership team across various locations. This position encompasses responsibilities as both an Executive Assistant and a Program Manager for key initiatives, contributing to business operations and skill development.

  • Directly reporting to the SVP Europe, collaborating closely with the Head of Operations, Head of HR, and other leadership members in the region.
  • Organizing meetings for the region in coordination with other executive assistants across different regions.
  • Communicating updates and agenda items to the regional leadership team, assisting with ad hoc projects as necessary.
  • Preparing agendas for quarterly, monthly, and weekly leadership meetings, and documenting minutes; ensuring action items are tracked and executed.
  • Coordinating presentation materials for regular regional meetings.
  • Managing the budget and processing expenses related to regional engagement activities.
  • Liaising with Finance, Payroll, and Strategic Sourcing partners, as well as travel agencies.
  • Facilitating regional engagement events, including the annual Sales Kick-off and Quarterly Award Dinners, while collaborating with cross-functional leaders for both virtual and on-site events.
  • Arranging travel and managing expenses for the SVP Europe.

Qualifications

  • A minimum of 5 years of experience as an Executive Assistant supporting regional teams.
  • Proven experience in a global company operating across various regions and time zones.
  • Background in coordinating engagement activities and managing budgets.
  • Proficient in business applications, including G Suite, Excel, PowerPoint, and Slack.
  • Ability to maintain confidentiality and handle sensitive information.
  • Exceptional organizational skills with meticulous attention to detail, capable of prioritizing multiple tasks seamlessly.
  • Strong written and verbal communication skills.
  • A positive, proactive attitude with a willingness to take on additional responsibilities.
