Position Overview

HAIL Partners is collaborating with a Founder/CEO of an Investment Management firm in search of a dedicated and professional Personal Assistant to support both him and his partner. The ideal candidate must possess native or bilingual proficiency in French.

Key Responsibilities:

  • Overseeing financial management and budgets for various properties, coordinating with service providers and property managers to ensure timely payments and accurate record-keeping.
  • Administering household operations, including all administrative tasks related to managing a home.
  • Coordinating personal travel arrangements and logistics, ensuring seamless execution and high standards, while being available to address any travel adjustments as they occur.
  • Maintaining a comprehensive understanding of the Founder’s professional and personal affairs, as well as ongoing projects, to provide proactive support and anticipate needs.
  • Supervising household staff.
  • Handling sensitive tasks related to the Founder’s personal finances, including payment setups and cash flow management.
  • Assisting with family-related matters.
  • Scheduling all personal appointments.
  • Communicating efficiently through various channels, including messaging apps, email, and phone.
  • Collaborating closely with business Executive Assistants.
  • Proposing thoughtful improvements to enhance efficiency and workflow.

Qualifications:

  • Native or bilingual proficiency in French.
  • A minimum of 8 years of experience in a Private Personal Assistant role.
  • Prior experience in financial management.
  • Demonstrated trustworthiness, discretion, and confidentiality.
  • Willingness to provide support outside of regular hours and availability around the clock.
  • Proven longevity in previous positions.
  • Exceptional attention to detail and organizational skills.
  • Dependable and mature demeanor.
  • Strong relationship-building capabilities and a proactive, service-oriented attitude.
  • Ability to naturally prioritize urgent matters and act with foresight.
  • Excellent verbal and written communication skills.
  • Resilience and problem-solving aptitude, with a forward-thinking mindset.
  • Comfortable managing a significant volume of confidential information.
  • Exhibit enthusiasm and a strong sense of accountability.
  • Proficient in PowerPoint, Excel, and Word.

Work Environment:

  • This role offers flexibility for remote work, office-based tasks, or in-home support.
  • Open to both part-time (2-3 days a week) and full-time arrangements, with full-time roles encompassing both personal and business support.
