Our combined clinical workforce consists of five GP Partners/Directors and nine Salaried GPs, some of whom work part-time. We also employ a Nurse Practitioner, Practice Pharmacist, Diabetes Specialist Nurse, and several practice nurses. Both practices are accredited training practices, with GP Registrars, medical students, and student nurses.

Job Responsibilities

The secretarial team are responsible for the provision of efficient and comprehensive secretarial support to the practice. Duties should be undertaken in an accurate, professional, and methodical manner at all times.

  • Ensure the smooth running of the secretarial service and prioritise workload as appropriate.
  • Answer telephone enquiries in a prompt, efficient, and helpful manner.
  • Actively manage and respond to patient tasks prioritising where appropriate.
  • Use the digital dictation system to type referrals, clinical letters, and reports as required by the doctors and nurses.
  • Refer patients via the e-referral system and oversee progress of those referrals.
  • Actively monitor the 2-week wait referrals and ensure appointments for patients have been secured and attended.
  • Liaise with hospitals and other outside agencies regarding appointments, missing hospital correspondence, and test results.
  • Deal with enquiries from patients professionally and sympathetically.
  • Check and respond to secretarial emails. Send correspondence via mail and e-mail according to protocol.
  • Check the eReferrals worklists daily making sure rejections/triage outcomes are processed.
  • Provide additional secretarial and administrative support to the practices as required.

You will be required to undertake all other duties that may be reasonably asked of you.
