About the Role

We are seeking a highly organized and efficient Administrative Support Specialist to join our team at University Hospitals Bristol and Weston NHS Foundation Trust. As an Administrative Support Specialist, you will provide exceptional support to our Clinical Nurse Specialist Team, ensuring the smooth operation of our Cancer Institute Non-Specific Symptom Pathway.

Main Responsibilities
  • Provide a point of contact for patients attending outpatient clinics, arranging blood tests and liaising with other departments as necessary.
  • Assist with the preparation of outpatient clinics, including chasing results and reports.
  • Deal with telephone enquiries from hospital staff, general practitioners, patients and others, taking accurate messages and passing them on to the relevant person.
  • Use computer systems to accurately input and retrieve patient information, ensuring demographic information is up-to-date and accurate.
  • Maintain filing systems and type Clinical Nurse Specialist letters, uploading them to the Evolve system.
Clinical Nurse Specialist Support
  • Print and filter all two-week-wait referrals sent through the e-Referral Service.
  • Organize and update patient lists for case reviews with the CNS team, Oncology Consultant and potential new recruitment of GP.
  • Be the first port of call for telephone queries for the CNS team.
  • Type all CNS clinic and correspondence letters and file them accordingly.
  • Input data to the NSSP spreadsheets.
Administrative/Clerical
  • Communicate effectively, promptly and accurately with patients, visitors, other Trust staff and external agencies, applying discretion and tact where necessary.

Person SpecificationKnowledge and Experience
  • NHS experience in administrative and clerical departments or similar secretarial/administrative experience in a busy customer-focused department.
  • Experience of dealing with the public both on the telephone and in public.
  • Experience of working as part of a team and on own initiative.

  • Methodical and reliable, with attention to detail and accuracy.
  • Demonstrate a flexible and adaptable approach to work with a willingness to learn and develop role.
  • Capacity to adopt changes to working practices quickly.

Qualifications
  • 5 GCSEs level (or equivalent) in English Language and/or Maths.
  • Word processing and audio typing qualification RSA III or equivalent experience.
  • IT skills or qualifications to ECDL/RSA standard.
