**BASE**: R/o Engage South West, St. Levan Road, Plymouth, PL2 3BG

**SALARY**: £22,012.70 per annum, pro rata

**CONTRACT PERIOD**: Permanent

**PROBATION PERIOD**: 6 months

**REPORTS TO**: Support Services Manager

**HOURS**: 37 hours per week

**OVERALL AIMS OF POST**:
To provide dedicated administrative support to Support Services and to assist with general and rota administration and other office duties to meet the needs of the team/organisation

**OFFICE ASSISTANT**:

- To be a point of contact for the Support Services Team
- To assist the management team with document preparation including letters, formatting, publicity material, presentations, reports and internal communications, using Microsoft Office, Word, Excel, Publisher & Powerpoint and doing research for different projects
- To support the rota coordinator with rota administration/timesheets/reports and monitoring as required
- To maintain electronic and paper filing, archiving and systems as required
- To set up meetings/training etc. including arranging chairs/tables, setting up laptop/projector and organising refreshments and taking minutes if required
- To support the team with other admin and IT queries

**GENERAL**:

- To undertake other duties that may reasonably be required by the Chief Executive, MT and Board of Directors.
- To comply with all aspects of the policies and procedures of Colebrook in accordance with legislation and good practice, complying with data protection act requirements and promoting equality and diversity.
- To remain active and involved in personal development opportunities, training and participate in supervision and performance appraisals as required.

To promote open and honest communication and to work as part of the Team to develop Colebrook’s strategic direction and deliver organisational objectives.

**Qualifications & Training**
- **Essential **_**(Enhanced DBS check will be undertaken upon offer of employment)**_

**Experience & Knowledge**

**Essential**
- A working knowledge of word processing and excel spreadsheets by using Microsoft Office ( i.e. Excel, Word, Outlook, Power Point)
- A good knowledge of working with IT systems and an experience of using internet browsers and social media
- Ability to talk to a range of people, including clients

**Desirable**
- An understanding and knowledge of setting up and maintaining paper-based and electronic files to consistent standards

**Skills & Competencies**

**Essential**
- Excellent organisational skills and good attention to detail
- Excellent interpersonal, communication and telephone skills
