Clerical Officer

The post holder will play an integral role in the General office, providing a confidential, friendly, confident, and efficient reception and administration service to patients and members of the public as well as to colleagues but most of all you will need to bring with you passion, enthusiasm and a desire to just get stuck in. You would have a unique personality where you are warm and friendly as well as efficient and professional, ensuring all Trust processes and policies are followed as well as providing excellent customer service.
The general office forms part of the Estates & Facilities team, which is fast paced environment. You will work under the direction of the Estates PA who will provide support with any help needed to ensure you are able to provide an efficient and effective administrative service to the department.
To respond in a timely manner to internal and external telephone enquiries, making a judgement to ensure messages are accurately dealt with or forwarded onto an appropriate member of the team.

To provide a safe and secure centralised location for the provision of a comprehensive service for the collecting, receipting and banking of Trust and other organisations based within the hospital, monies, in line with departmental procedures and the Trust Standing Financial Instructions.
To provide an effective service to patients for their monies and valuables and maintain records and initiate release in accordance with the Patients and Deceased Patients’ Property Procedures. To process lost and found property in line with Trust policy.
Provision of a centralised petty cash service, ensuring correct documentation is completed and authorised by the relevant budget holder prior to making payment.
Provide a confidential service to patients claiming travel expenses, validating claims in line with the Trust’s Procedures and Department of Health Guidelines.
To ensure that a clean and safe working environment is maintained, reporting equipment faults and completing incident reports in line with the Trust procedures.
To order stationary and office supplies for administration and ward departments, including receipting deliveries and maintaining an appropriate level of stock and to carry out stock taking as required.
