Facilities Administrator

Are you a detail orientated professional with a passion for ensuring smooth and efficient operations within your workplace? If so, we want you to be an integral part of our team. We are currently seeking a Facilities Administrator to contribute to the seamless functioning of our organisation.
We pride ourselves on creating a positive and collaborative work environment, where you will play a key role in maintaining our facilities to the highest standards.
You will be based at Erlegh House, primarily providing administrative support to the West Berkshire Facilities Team covering areas including Wokingham, Bracknell, Reading, and Newbury.

**Key duties include**:
Being a point of contact and maintaining relationships across the service, assisting the team in the development and maintenance of efficient and effective office procedures.
Assisting with planning and arranging meeting and events on behalf of the Facilities team, ensuring all necessary arrangements are made, such as room bookings, refreshments, etc.
Attending designated meetings where the information may be complex and sensitive, taking and transcribing minutes. Distributing information prior to and after meetings.
Maintaining all office systems, both electronic and hard copy, across the service, ensuring that services run smoothly through having well planned and organised administrative systems and processes in place.
Assisting in the efficient and accurate recording of data on all electronic systems, such as those involving procurement of goods, incident reporting and spreadsheets.
Typing confidential correspondence, reports and other documentation, accurately to a high standard within agreed timescales
Maintaining effective communication across the service, including procedures for answering telephones and taking messages. Report any faults with telephone equipment to relevant parties and monitor until any issues are resolved.
Travelling to different sites as required by the role.
