Band 4 Rota Co-ordinator - Therapies Department

22.5 hrs per week, permanent post.

Are you keen to join a small team of dedicated admin staff, committed to making a difference?

You will be responsible for assisting us to ensure our out patient staff rotas are accurate, including for bank staff. You will be working alongside a colleague who has responsibility for Inpatient rota co-ordination.

Additionally you will be responsible for Contract Amendment Forms and supporting the team with a variety of admin tasks.

The team currently comprises the inpatient rota co-ordinator, PA to the Therapy Managers and a Band 3 admin assistant. The outpatient rota co-ordinator role is a new post.

Key responsibility in providing administrative support in relation to the working patterns of therapy staff in the department, as well as supporting with the administration relating to sick leave, special leave, holiday planning and attendance management.

To act as the first and central point of contact for out patient rota queries for all therapy staff within the Department.

To cross cover for inpatient rota co-ordinator as required.

To be responsible for drafting Contract Ammendment Forms.

To calculate annual leave entitlements and ensure the accurate recording of these and other types of leave onto eroster.

Sustainability is integral to the Trust achieving the NHS Net Zero target. All staff are therefore actively encouraged and supported to implement new ways of working within their field of expertise.

Compilation and provision of accurate and timely rotas and timetables for therapy staff working across the inpatient therapy service, to allow early identification of staffing shortfall.

Compilation and provision of out of hours, bank holiday and weekend rotas for the department.

Key responsibility in providing administrative support in relation to the working patterns of therapy staff in the department, as well as supporting with the administration relating to sick leave, special leave, holiday planning and attendance management.

To be responsible for communicating future rotas and any changes to rotas to all relevant parties.

To manage the rotas on a day to day basis, ensuring cover is provided in the event of sickness and absence and appropriately deploying staff as necessary, under the guidance and supervision of the relative Team Lead or the Deputy Inpatient Therapy Manager.

To act as the first and central point of contact for rota queries for all therapy staff within the Department.

To ensure unresolved rota issues are escalated to the Team Leads, Deputy Inpatient Therapy Manager or Inpatient Therapy Manager as appropriate/directed.
