Meadows Health Centre is a relatively small, busy, friendly and caring inner-city practice with 2 GP Partners Practice team consists of: A regular Locum GP, Practice Nurse, Health Care Assistant, GP Assistant, reception staff and Admin staff, secretary and Practice Manager Additional roles are physiotherapists, Social prescribers, Health and Wellbeing Coach, Cancer Care co-ordinator and Mental health Practitioner There is also another medical practice co-located within the health centre, along with the community dental service We are located withing a 10 minutes’ walk from the city centre and have excellent transport links. There is Train, Tram and bus stops within a few minutes’ walk. The Meadows area is very diverse, as is our population of patients. The Practice team work together very well and are very supportive of each other.

The Apprentice will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Business Admin level 3 Apprenticeship training provided by PMA Ltd and on the job training.

**What will the apprentice be doing?**

To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to:

- Greeting and directing patients
- Patient registration
- Booking appointments
- Processing of information (electronic and hard copy) and assisting patients as required
- Central point of contact for patients
- The distribution of information
- Messages and enquiries for the clinical team
- Liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

**What training will the apprentice take and what qualification will the apprentice get at the end?**

Statutory and Mandatory Training is completed using our elearning package and includes the following to be completed as part of the induction.

We also have one afternoon per month whereby the practice is closed from 12:00 which is dedicated to staff training or used for meetings to discuss practice matters and elearning.

Business Admin level 3 Apprenticeship Standard Training in the workplace provided by PMA Ltd. Includes Functional Skills in English and maths if required.

You will have on the job training within the organisation and have an assigned assessor who will provide you with additional training sessions and assessments to gain the business administrator qualification.
- Maintaining and monitoring the practice appointment system
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signposting patients to the correct services
- Processing incoming and outgoing mail
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Managing missed appointments
- Completing admin tasks in the Clinical system
- Read coding data on System One
- Photocopying, data entry, scanning of patient related documentation and attaching scanned documents to patient’s healthcare record.
- Support for clinical staff with general tasks as requested
- Adherence to infection control measures, procedures and protocols
- Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
- Other duties can include patient registrations, booking appointments, processing of information (electronic and hard copy) and assisting patients as required.
- To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team,
- liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

**What is the expected career progression after this apprenticeship?**

View to offering a permanent position at the end of the apprenticeship.

**Annual wage**

£8,236.80 a year

**Working week**

Variable shifts between 08:00 and 18:30 30 hours per week would include a mixture of 08:00 starts and later starts with 18:30 finishes. Worked over 5 days each day would be 6 hours long with a 30 minutes lunch break included (paid) Shifts TBC
