We are looking for an enthusiastic and motivated person to join the pharmacy team. This is an excellent opportunity for someone looking to develop their skills in an administrative role working with a small and friendly team.

You will work closely with the administration team within pharmacy supporting a diverse range of activities across the department.

To provide a comprehensive administrative and secretarial service to the Trust Pharmacy Department, Chief Pharmacist and Head of Medicines Management.

Administrative support for clinical pharmacy team including
- Rostering and rota support for clinical teams
- Essential training compliance reporting and reminders
- Entry of hospital acquired thrombosis details to the datix system
- Meeting support for clinical meetings
- Cross cover with team general admin duties

The pharmacy department at Chesterfield Royal Hospital is modern, pro-active, forward-thinking and well respected both locally and nationally.

Provide secretarial support to the Chief Pharmacist and Head of Medicines Management.

Manage the distribution of departmental correspondence.

Ensure that Trust policies/procedures and departmental records are kept up to date, including salary return, sickness absence records, staff lists, essential training records etc.

To co-ordinate the recruitment of new staff including advertising, organisation of interviews, reference requests, employment checks and the ordering of new uniforms etc.

To manage departmental personnel files, co-ordinating hospital/departmental induction for new staff and terminations for leavers.

To maintain records relating to annual leave, sickness absence, staff appraisal and mandatory training, ensuring that department targets are met.

To maintain accurate records on the hospital e-rostering system, liaising with the e-rostering team when required.

To co-ordinate the arrangement of formal sickness absence reviews, maintaining appropriate records.

To prepare and submit the departmental salary return.

To undertake the ordering of sundry items via the Agresso ordering system including renewal of subscriptions etc.

To liaise with the hospital Estates department regarding departmental maintenance matters.

To supervise the work of the Pharmacy Business Apprentice providing direction and work allocation as required.

To maintain and distribute departmental contact records for the purposes of MAJAX procedures.

Provide secretarial support and minute taking to the Trust Drug and Therapeutics Committee and its sub groups, Pharmacy Management Board, Pharmacy Risk and Safety meeting and other pharmacy meetings as required.

To co-ordinate the safe supply of FP10 Prescriptions pads to authorised areas, maintaining appropriate records and ordering supply when necessary.

To co-ordinate the production and publication of the annual Medicines Optimisation Report.

To maintain the hospital Chemotherapy register.

Support the senior pharmacy team in the preparation of documents, reports, presentations etc.

Co-ordinate meetings, catering, room bookings etc., as requested by the Chief Pharmacist and Head of Medicines Management or other staff as required.

Maintain equipment and materials including departmental stationery, computer sundries etc.

To enter details of hospital associated thrombosis cases onto the Datix syst

To provide backfill support the dispensary team in provision of reception duties where necessary
