**Position Overview**

The Executive Assistant will report to the Founder and CEO of Proximie and have responsibility for the management of the Office of CEO. This is a critical role in ensuring the efficiency of the daily operations of business by providing personalized support to the CEO across a variety of high impact, strategic and business critical activities. This is an exciting opportunity to be part of an incredible journey at Proximie as the business continues to scale whilst working closely with a female pioneer of the Healthtech community.

To be successful in this role, you will need to be smart, confident, an excellent communicator, well-organized, have great time management skills, and be able to act without guidance. You will need to build strong relationships with our executive team and proactively support the CEO. Your agility and attention to detail will be key in navigating our fast-paced environment.

**Responsibilities**
- You will act as the point of contact among the executive leadership team, employees, customers, and other external partners to successfully manage the Office of the CEO.
- You will perform a variety of tasks to support the CEO including but not limited to:

- Managing the information flow for the Office of the CEO in a timely and accurate manner.
- Calendar management activities including daily diary planning, arranging meetings and appointments along with screening and inbound directing phone calls. This will ensure an efficient schedule that aligns with strategic priorities.
- Organise and oversee logistics for domestic and international travel, ensuring seamless experiences for the CEO. This includes supporting the CEO in preparing for high level meetings and events.
- Owning expense management for the Office of the CEO.
- You will help to collate and produce reports, presentations, and briefs for internal and external communications.
- Other ad hoc activities that may arise including driving key projects and initiatives forward.
- Providing personal support as required.

**Requirements**:

- Bachelor’s degree in business administration, or relevant field.
- A minimum of 3+ years of experience as an Executive Assistant, Senior Executive Assistant, or similar role.
- Ability to take dictation and be able to draft communications accordingly across different mediums.
- Ability to keep calm under pressure and adapt to change.
- Outstanding organizational and time management skills.
- Excellent verbal and written communications skills.
- Discretion and confidentiality.
- Attention to detail.
- Full comprehension of office management systems and procedures.
- Fluency in other languages would be highly desirable in particular French, but this is not a critical requirement.
