**Job Title** : Administrator

**Directorate**: Corporate Services Directorate

**Responsible to** : Senior Data and Analytics Officer

**Job Purpose** : Contribute to the professional delivery of the Corporate Services
Directorate, in line with the Association’s business plan, working flexibly and collaboratively with colleagues within the team. The key focus will be processing confidential and sensitive information in relation to recruitment/resourcing, attendance, payroll and general HR issues. The postholder will also have responsibility for governance and compliance, carrying out research to include benchmarking, performance monitoring and Section 75 Equality.

**1.0 Best Practice**
1.1 Handle confidential and commercial information with discretion and in accordance with data protection legislation.
1.2 Assist the Corporate Services Directorate to ensure the overall efficiency of the

Directorate by positively promoting all aspects of the service, including, quality initiatives; continuous improvement initiatives and training as required.

1.3 Support the identification, development and implementation of systems for the recording and reporting of metrics (including trend analysis) and provide accurate and timely reports.

1.4 Assist in the monitoring of compliance issues and plans to address non-compliance and oversee the provision of general administrative support as required.

1.5 Prepare responses to Subject Access Requests, ensuring all responses are issued by the strict deadline.

1.6 Retain a central repository of data, to include Subject Access Requests and provide regular reports which details all Corporate Assurance activities, for use in Committee and Board reports.

1.7 Participate in the review and development of policies and procedures, frameworks and protocols, as and when required.

1.8 Undertake relevant projects and initiatives which positively support the vision, values and objectives set out in Association’s Business and Corporate Plans.

1.9 Support Directorates to audit all existing Quality Systems and ensure compliance with relevant standards for example ISO, Customer Service Excellence, House Mark etc.

1.10 Assist the Corporate Services Directorate to ensure the overall efficiency of the
Directorate by positively promoting all aspects of the service, including, quality initiatives; continuous improvement initiatives and training as required.

**2.0 HR Information System (HRIS)**
2.1 Provide first line support to employees and managers on HR related queries, on including
- Resetting HR system passwords.
- Checking leave balances.
- Checking working patterns and updating, as required.
- General problem solving and resolution with iTrent.
- Escalating queries where more specific HR advice required.
- Reviewing and resolving Timeware queries.

2.2 Maintain professional relationships with all internal and external customers.

2.3 Escalate matters to the Business Support Officer, or Senior Data and AnalyticsOfficer, as required.

2.4 Support and assist in the expansion of the Association’s performance management delivery on iTrent and take responsibility for compiling basic requests for information and delivery of weekly and monthly reports, as well as assisting with the flow of HR related information.2.5 Collate and report on information in relation to the annual performance management cycle and ensure all outstanding matters are escalated as required, to ensure the
Directorate meets all set KPI targets.

**3.0 Governance and Performance Monitoring**

3.1 Provide administrative support to the HR Manager and Governance and Corporate Assurance Officer.
3.2 Support directorates to audit all existing quality systems and ensure compliance with relevant standards e.g. ISO, Customer Service Excellence, House Mark etc.
3.3 Co-ordinate the identification and research of areas of best practice, suggesting options and new processes, procedures and policies as and when required.
3.4 Prepare and distribute accurate and well-presented reports and provide colleagues with information to assist in the delivery of effective business services.
3.5 Prepare action plans to deliver the Association’s quality strategies and in line with the annual business plan.
3.6 Manage the preparation and review of performance measures in completion of the monthly performance scorecard information.
3.7 Co-ordinate the calendar of statutory reports and submissions.
3.8 Quality assure the scorecards prior to publication.
3.9 Assist the HR Manager and Governance and Corporate Assurance Officer in the collation and analysis of performance information from all departmental areas.
3.10 Support the preparation of reports on Key Performance Indicators, Corporate and Directorate performance information, and feedback from tenant consultation initiatives through the delivery of the programme of customer satisfaction surveys.
