Office and Facilities Coordinator

The Office and Facilities Coordinator will ensure the smooth running of the office and building facilities, supporting all departments within RxCelerate. The role holder is the first point of contact for many members of staff and external stakeholders, so representing RxCelerate in a professional, positive, and friendly manner is essential.
- Meeting room administration: ensuring the space is equipped, tidy and the meeting room technology works seamlessly - in collaboration with IT.
- Liaising with external suppliers, dealing with contracts for office services, e.g., photocopiers, cleaning, plants, water.
- Ad hoc administration duties as required.
- Collaborating with HR in the onboarding process of new employees, ensuring adequate equipment, desk and chair is available on their first day.
- Induction of new starters, showing fire exits and relevant H&S information regarding the building.
- First point of contact for the main RxCelerate telephone line.
- Ordering and placement of lunches for business meetings.
- Checking and processing of monthly invoicing from BRC.
- Campus administration (BRC) for facilities-related matters.
- Attendance at tenant liaison meetings
- Monitor and order stationery and office equipment.
- Weekly ordering of office wellbeing supplies, i.e. fruit, coffee, tea.
- Arrange maintenance and daily upkeep of office equipment.
- Co-ordinate the management of local and international collections and deliveries with couriers.
- Assisting with invoicing and raising purchase orders, as necessary.
- Co-ordinate locker assignments.
- Maintenance of key holder (register).
- Co-ordinate the annual flu clinic for all staff.
- Support the Executive Assistant to the CEO with planning and coordinating office events.
- Ensure the facility is fully operational with all utilities functioning correctly.

**Requirements**:

- Excellent communication, negotiation, and relationship-building skills, both written and verbal.
- Ability to prioritise tasks effectively.
- Self-motivated, flexible and adaptable.
- Resilient and able to remain calm and in control in a fast-paced and changeable environment.
- Ability to solve problems proactively and independently.
- Good organisational skills, with attention to detail.
- Competent in using Microsoft Office, Word, and Excel.
