**Job Summary**:
To provide general secretarial support to the Doctors, Health Professionals and Managers involving word processing and audio typing skills.

**Responsibilities**:

- To process referrals via the e-RS referral system and to respond to any queries regarding this.
- To process patient tasks in conjunction with other members of the Admin Team.
- To assist the Practice Manager/Assistant Practice Manager with clerical and administrative duties.
- To liaise and arrange meetings (to include the booking of rooms) as required and to prepare agendas and attend the meetings to take the minutes.
- Receiving incoming and initiating outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries including expediting tests/appointments as required.
- To establish and maintain filing and administrative systems to ensure that written or computer information is easily accessible and secure.
- To contribute to ensure office systems are as efficient and effective as possible; liaising with the Practice Manager to agree and implement changes.
- To retrieve medical records and assist with the completion of medical/insurance records.
- To file patient records and correspondence in patient medical records.
- To contribute to audit and to assist with the gathering of statistics/data and information when required.
- To provide cover for members of the secretarial team during periods of sickness and annual leave.
- In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform your secretarial duties. Maintain supplies for office equipment.
- To receive and dispatch mail and maintain a pending system.
- Have a working knowledge of the telephone and Dictaphone systems to facilitate ‘trouble shooting’.
- Producing patient information leaflets/literature and posters.
- Maintaining and updating the practice information directory for GPs and updating the internal telephone directory.
- Care plans, Respect forms and Special Patient Notes.
