We rely on our Administration function for our professionals to be able to provide the most effective patient care and overall best quality experience for our service users.

As a member of our team you will be expected to have good communication skills, IT skills, and excellent interpersonal skills and have the ability to quickly think on your feet. If you think you are ready for a new challenge and to learn new skills, this could be the role for you.

You will be the first point of contact for all incoming day to day communications and enquires, and have the ability to recognise priority and to field and flag where necessary. The central booking system for all patient appointments (Face to Face, Virtual and Telephone). This includes contacting patients by phone or letter and booking the appointment on the Trust QuadraMed System, followed by the activation and discharge to ensure a seamless patient experience. Engage with patients and colleagues in a friendly and professional manner while actively listening to their requests with patience, care and compassion. Time manage and plan workload appropriately both automatously and together as a wider admin team, knowing when to team huddle and reprioritise and allocate daily workloads. Often assisting under the INCS Admin umbrella. Multitask within a busy and dynamic department. Being forward thinking and in the creation of innovative ways to streamline systems and working ways to meet the needs of an ever developing service.

- Be the first point of contact for all incoming day to day communications
- The central booking system for all patient appointments (Face to Face, virtual and Telephone).
- Be responsible for all outgoing letters/correspondence by way of audio typing and uploading to Alma Administration.
- Time manage and plan workload appropriately both automatously and together as a wider admin team, knowing when to team huddle and reprioritise and allocate daily workloads. Often assisting under the INCS Admin umbrella.
- Being forward thinking and in the creation of innovative ways to streamline systems and working ways to meet the needs of an ever developing service.
- Liaise with external suppliers to obtain costings for equipment and place orders for stationery, furniture, and computer equipment within budget allocation, to meet Directorate requirements.
- Be involved with the collection of data and clinical figures and submit reports to INCS Management Teams and Business Intelligence as required
- Attend meetings in order to take minutes and produce / distribute documentation as required.
- Taking personal responsibility.
- Must demonstrate excellent Communication skills at all times, both written and verbal. Enjoys working with people and has good interpersonal skills. Is able to work flexibly with colleagues across different services
