An opportunity has arisen for a Support Secretary to join the Admin & Clerical Pool within Blood Science Office/Histology based at Royal Preston Hospital.

We are looking for an experienced enthusiastic individual to join our team as a Support Secretary on a permanent part time post.

You will be a self-motivated individual with proven secretarial skills which include digital audio typing with speeds of 50 - 60 words per minute, minute taking, diary management and excellent telephone manner with the ability to communicate effectively at all levels. You will be calm under pressure and have a willingness to undertake and learn new tasks.

A broad experience of IT systems including digital dictation, Microsoft teams and experience in a secretarial/admin job are essential to this role.

This post is a part time position, Friday 08:30 to 17:00 (7.5hrs), the remaining 7.5hrs Flexible (to be discussed at interview.

You will be a member of a team of support secretaries/Clerical support staff providing secretarial and administrative support within the Blood Science/Histology Admin and Clerical pool., dealing with Consultants, Heads of Department together with Lab staff. They will support the efficient channelling of communication between medical staff, external hospitals, and other disciplines within the Trust.

You will demonstrate excellent organisational skills, must be flexible in approach, able to exercise initiative and demonstrate a consistently high standard of professionalism, being aware of the need for confidentiality and integrity.

**Duties to include, but not be limited to**:

- Be the point of contact for all day to day enquires, referring where necessary to more senior staff
- General Secretarial Duties
- Manage electronic calendars for relevant staff (e.g. Consultants, senior managers), organising Microsoft Teams Meetings as required and accurate maintenance of an electronic diary with effective communication of diary commitments.
- Coordinate meetings at the request of the relevant staff (e.g. Consultants, senior managers). This occasionally requires arranging venues and refreshments for off-site meetings.
- Provide secretarial and administrative services to relevant staff by perusing and distributing incoming correspondence, disseminating information, maintain up to date filing system, booking systems and continuously developing administrative practices to ensure order and efficiency in the Blood Science office/Histology office.
- Transcribing minutes and produce/distribute documentation as required.
- Provide secretarial and administrative support when other members of the team are absent.
- Prioritise own workload appropriately, referring any service concerns to the Team Leader in a timely manner.
- Maintain good relationships with members of staff ensuring a high degree of confidentiality and integrity at all times.
- Use databases and computer packages where appropriate to initiate and maintain records and generate statistics for analytical purposes.
- Utilisation of local or Trust case note tracking system.
- Audio/digital dictation
- Updating SOP'S
- Dealing with Coroners correspondence.
- Typing histology macroscopic/microscopic reports.
