Due to internal promotion we are looking to welcome a Support Medical Secretary on asecondment basis for 12 monthsin the Paediatrics team within the Division of Women & Children.

This is an excellent opportunity for an individual to work in a band 3 capacity, gaining experience to help shape a future career goal.

We are seeking an individual that is not only enthusiastic and forward - thinking but also, kind and caring ensuring they are putting the patients and families first throughout their journey of our service.

You will be a member of a team of support medical secretaries providing secretarial and administrative support to consultants, junior medical staff, and any other staff. You will support the efficient channelling of communication between medical staff, GPs, patients, relatives, members of the public and other disciplines within the Trust.

This is a role which can be challenging but also rewarding as you seek to support the consultants and patients/parents/carers to provide a joined up service where our patients will feel listen to and valued.

You will provide support secretarial / administrative services to our specialist consultants and Specialty Doctors.

This may involve perusing and distributing incoming correspondence, disseminating information, composing reports and correspondence, maintaining up-to-date filing systems and continuously developing administrative practices to ensure order and efficiency within our friendly team.

**Duties will include but not be limited to**:

- Be the point of contact for all day to day enquires, referring where necessary to more senior staff
- Manage your own Consultant workload
- Manage the IHA patient database utilising Quadramed to book appointments accordingly
- Coordinate appointment with parents / carers always using the strictest confidentiality and updating database
- Chase progress on all issues with appropriate managers /consultants on behalf of the Directorate and when necessary to ensure that deadlines are met.
- Maintain efficient and effective administrative systems, including bringing forward appointments, being key point of contact for parents / carers, nursing teams and other clinical colleagues
- Organise the daily work of the consultants, ensuring files and papers are available and up to date, providing briefings for the day’s activities, highlighting deadlines and potential conflicts of interest
- Ensure appointment slots are managed accordingly and meet the guidelines and expectations from Safeguarding, as well as defined goalpost
- Attend meetings to take minutes and produce / distribute documentation as required
- Organise meetings as required, to include preparation of agendas and minute taking, co-ordinating follow up action as required to ensure that decisions / recommendations are implemented
- Provide secretarial and administrative support when other members of the team are absent - this includes within other areas that fall under paediatrics, including hospital sites.
- Use databases and computer packages where appropriate to initiate and maintain records and generate statistics for analytical purposes
- Provide secretarial and administrative cross cover when other members of the team are absent/agile or travel to a different site
- Open & deal with any correspondence
